4. Data processing

We collect and process personal data only where necessary to provide the career portal, manage job offers, process applications and ensure secure technical operation.

5. Registration and user account

When creating a user account, the following data may be stored:

• Email address
• Password (not stored in plain text, but hashed/encrypted)
• Registration time

6. Applications and uploaded documents

As part of the application process, we may process:

• Full name
• Email address
• Phone number, if provided
• Application text or cover letter
• Curriculum vitae (CV)
• Uploaded documents
• Other voluntarily submitted information
• Time of application

These data are used exclusively for handling and managing applications. Application documents are not shared with third parties unless legally required.

7. Login and security

For secure operation, we may store IP address, browser/device information (user agent), and login/logout timestamps. These data are processed for abuse detection and system security.

8. Two-factor authentication (2FA)

To increase account security, two-factor authentication may be used. 2FA secrets and recovery codes are stored in a protected form. Recovery codes are shown only once and are not sent by email.

9. Security logs

Security-relevant events such as login attempts, 2FA changes, recovery-code use, session activities and administrative changes in the career portal may be logged for abuse detection and system security. These logs may include timestamp, IP address, device information and event type.

10. Session management and trusted devices

We store session tokens, IP address, device information and last activity. Users may terminate active sessions themselves. If you mark a device as trusted, a token may be stored in your browser and linked in our database to reduce repeated 2FA prompts.

11. Email notifications

The career portal may send emails, for example for registrations, applications, status changes, new-device logins or security-relevant events.

12. Legal basis

Processing is based in particular on Art. 6(1)(b) GDPR where required for pre-contractual measures related to an application, and on Art. 6(1)(f) GDPR for system security, abuse detection and technical operation of the career portal.

13. Retention period

Personal data is stored only as long as required for the stated purposes. Application documents are deleted no later than 12 months after completion of the application process, unless statutory retention obligations or legitimate reasons require longer storage.

• Sessions are automatically deleted or invalidated.
• Security logs are cleaned up regularly.
• User accounts can be deleted upon request unless legal obligations prevent deletion.

14. Your rights

You generally have the rights of access, rectification, erasure, restriction of processing, data portability and objection.

15. Right to lodge a complaint

If you believe that the processing of your data violates data protection law, you have the right to lodge a complaint with the competent supervisory authority.
